Information handling

What I collect, what I avoid, and what law requires

I use the minimum information reasonably needed to prepare for and complete an appointment. Pennsylvania-required notary records are handled differently from optional appointment notes and document working copies.

Identification

  • ID is inspected to establish identity for the notarial act.
  • I do not retain a customer's ID or a copy unless law or an authorized assignment process permits it.
  • Do not send a full ID image or full ID number by ordinary text or email unless an agreed secure process specifically requires it.

Secure electronic notary journal

  • Pennsylvania law requires a contemporaneous journal entry for each notarial act.
  • I complete each entry at the appointment using a custom-built electronic journal designed for secure, organized notarial recordkeeping.
  • Journal access is limited except when disclosure is required by Pennsylvania law.

Document control

  • Documents are used only to prepare for, complete, quality-check, and return the requested assignment.
  • Loan packages follow the hiring party's written scanback, shipping, and return instructions.

Remote online sessions

  • RON uses approved communication technology—not an ordinary video call alone.
  • The platform may perform identity proofing and credential analysis.
  • Pennsylvania requires the audio-video record to be retained for at least ten years by the notary or designated repository.

Calls, texts & email

  • Scheduling usually needs only your contact details, town, document type, signer count, and preferred time.
  • Ordinary text and email are not treated as secure document portals.

Limited access

  • Appointment information is handled only as needed to schedule, complete, and document the requested service.
  • Requests to review or delete optional contact information are honored when no legal or contractual retention duty applies.
  • No security practice can promise zero risk, but unnecessary collection and retention are deliberately avoided.

My commitment if a correction is ever needed

To date, I have not had to correct an execution or notarial error attributable to my work. If one is ever identified, I will give it priority and coordinate the corrective appointment or document correction without charging an additional service or travel fee.

You can count on careful work, clear communication, and a prompt response if a correction is ever needed. Final document decisions are made by the organization receiving it.

Online notarization can be convenient for eligible documents and comfortable signers. An in-person visit may be a better fit when hands-on support, witnesses, printed documents, facility coordination, or document return is needed. I can explain both formats so you know what to confirm before scheduling.

Deadline & return Electronic completion meets every recipient and timing requirement. Scanbacks, carrier cutoffs, original-document shipping, or a tight rate-lock timeline require direct follow-through.
Follow-up Platform support and the selected online notary provide the level of continuity the signer needs. The hiring party wants one named local professional, direct status updates, public credentials, and a correction promise.

Confirm the document's requirements with the receiving party or an attorney. A notary cannot choose a legal form, select a notarial act for you, or guarantee that a document will be accepted.

Why professional safeguards affect price

The fee covers more than a stamp

I commonly waive the notarial-act fee. Pricing primarily reflects mobile travel, reserved schedule time, convenience, coordination, printing, scanbacks, shipping, facility access, professional coverage, secure handling, and availability for correction.

You receive a clear quote, in writing or verbally, before travel begins. The notarial-act fee—commonly $0—is explained separately from any travel, time, or administrative charge.
